This policy generally applies to all websites owned by The Governors of The Peabody Trust (“Peabody”). Exceptions are clearly stated in relevant sites.

Peabody designed our website with both its usefulness and your privacy in mind. This policy describes the types of personal information Peabody may collect and how Peabody will use personal information to provide services via our websites.

This policy (together with our terms and conditions of use and any other documents referred to in it) sets out the basis on which any personal data Peabody collects from you, or that you provide to Peabody, will be processed by Peabody. Please read the following carefully to understand our views and practices regarding your personal data and how Peabody will treat it.

1.1 By using this web site, you agree to the collection and use of your personal information as described in this policy. If Peabody makes any significant changes to this policy, Peabody will endeavour to notify you by posting a notice of such changes in a prominent position on the relevant website.

1.2 When using our interactive services (such as those accessed via myPeabody):

1.2.1 Peabody collects your account information (including information about repairs requested, complaints made and rent payments and arrears) and stores and maintains such information on our secure servers,

1.2.2 Peabody will never rent, sell or share information that personally identifies you for marketing purposes without your permission,

1.2.3 you can update your personal information at any time.

1.3 This policy only applies to Peabody websites and you should refer to the privacy policy of any third party website that you access in connection with Peabody websites, whether by means of hyperlink or otherwise.

1.4 Information supplied to Peabody will be processed and stored on a secure server and may be used in connection with future visits to this website to facilitate easy repeated use. Transaction processes will use data encrypted using a Secured Socket Layer ("SSL") session. You should ensure that your version of your web browser supports SSL.

Data protection

2.1 Peabody may collect and process the following data about you:

2.1.1 information that you provide by filling in forms on Peabody websites including without limitation your name, address, ethnicity, phone number, email address, rent payments and rent arrears and credit/debit card details. This includes information provided at the time of registration, posting material or requesting further services.  We may also collect information about you provided by third parties (for example where complaints are filed). Peabody may also ask you for information when you report a problem with the website,

2.1.2 correspondence that you may have sent to Peabody,

2.1.3 surveys used for research or marketing purposes, although you do not have to respond to them,

2.1.4 details of rent payments you make through Peabody websites and the processing of your payments,

2.1.5 details of complaints that you make or may be made by other persons against you and any actions taken,

2.1.6 details of your visits to the website including, but not limited to, traffic data, location data and other communication data, whether this is required for Peabody's own financial tracking purposes or otherwise and the resources that you access.

2.2 Information that Peabody receives or gathers (whether or not under this policy) may be used by Peabody, its employees and/or agents to:

2.2.1 identify you when you re-visit the website,

2.2.2 help administer any accounts, services and products offered by Peabody from time to time,

2.2.3 help Peabody to detect fraud or losses,

2.2.4 keep you updated as to the progression of ongoing services or the timetable as to delivery of services,

2.3 All storage, use and transmission of personal information relating to an individual or company is subject to the Act. The Act gives you the right to access information held about you. Any access request may be subject to a fee of £10 to meet Peabody's costs in providing you with details of the information it holds about you.

2.4 Personal information collected by Peabody will (generally) be stored and processed in the United Kingdom. Peabody reserves the right to transfer your personal information in the event of a transfer of ownership of Peabody. You should regularly check this policy to look for changes in the policy governing the use by Peabody (or its successor) of your information.

Cookies and log information

3.1 Peabody's website requires the use of cookies. These cookies are not used for the placement of advertising, but are used so that our web servers can deliver the correct web pages to the correct person.

3.3 Log information: When you visit our websites, Peabody collects certain information (the same information that most websites log when they are accessed). This information, contained in the “header” of your request to access a Peabody Trust web page, usually includes the browser type you used, your Internet Protocol (IP) address, and the date and time of day.

3.4 Peabody needs this information to help us provide our services to you. For example, Peabody would need to validate your identity in order to maintain the security of your myPeabody account.

3.5 Peabody also needs to know what Internet Protocol address your query came from so Peabody can send the appropriate pages back to you. In addition, Peabody logs this information for internal review purposes. For example, this log information helps us determine how well our services are working so Peabody can continually improve the quality of its web sites.

3.6 The log information is also important for security, audit, quality improvement and other internal processes.

Updating your information

4.1 You can change your personal information at any time, by accessing your myPeabody account. You can terminate your account at anytime by requesting this from our web team.

4.2 Peabody typically deactivates accounts within five business days of such requests. You should be aware, however, that residual copies of information may remain stored on Peabody's systems even after the deletion of information or the termination of your account.

Third parties and your information

5.1 Peabody will never disclose your personal information unless Peabody believes Peabody is required to do so by law or believes in good faith that such access, preservation or disclosure is reasonably necessary to

5.1.1 satisfy any applicable law, regulation, legal process or governmental request,

5.1.2 enforce any applicable Terms of Use, including investigation of potential violations thereof,

5.1.3 detect, prevent, or otherwise address fraud, security or technical issues,

5.1.4 respond to user support requests, or

5.1.5 protect the rights, property or safety of Peabody, users of our services and the public.

5.2 You acknowledge and agree that some of the data that Peabody processes may amount to sensitive personal data under the Act.  Your continued use of the website amounts to agreement that Peabody may process such data. Peabody, its subcontractors and agents will apply appropriate technical and organisational measures to prevent the unauthorised processing of personal data and protect against accidental loss of or damage to personal data.

How does Peabody safeguard your information?

6.1 Peabody pays close attention to security. First, Peabody focuses significant time and resources to ensure that user accounts and information are not misused by Peabody employees. A limited set of employees are authorised to access user accounts; they are educated about the importance of maintaining user privacy and their access to user accounts is recorded. Employees are also contractually required to access accounts and log data only for quality, security, audit and other internal purposes.

6.2 Second, Peabody implements technology and procedures to try to make sure that external parties cannot access or modify users’ personal information on our servers. These technologies and procedures generally include industry standard methods and may include our own proprietary methods where appropriate.
